The Opportunity:
We are seeking a pragmatic, action-oriented Practice Administrator to lead operations for a 3–4 surgeon practice with 17–20 FTEs. This is a hands-on leadership role reporting directly to the physician partners. You will own operational performance, revenue cycle metrics, staff engagement and the strategic integration of technology (including AI pilots). We need a leader who can stop leaving money on the table while preserving the high-touch patient experience that defines TruOrtho.

Core Responsibilities:
Oversee daily clinic operations: scheduling, front desk, call center, patient flow, ancillary services.
Own the revenue cycle: net collections rate, days in A/R, denials management, payer contract review.
Deliver monthly operational & financial dashboards to physician partners (top 25 referral sources, payer mix, A/R >90 days, next-available appointment, overhead).
Supervise and mentor staff; implement consistent performance reviews, training and cross-coverage protocols.
Lead process-improvement initiatives to reduce errors, decrease wait times and improve patient satisfaction.
Collaborate with marketing to grow referral sources and manage social media/brand outreach.
Manage vendor relationships, lease/facilities coordination, payroll and bill pay.
Ensure compliance with regulatory standards and HIPAA.
Lead or manage EHR and practice management software enhancements and AI pilots to boost efficiency.
Required Qualifications
Bachelor’s degree in Business, Healthcare Administration or related field.
5+ years senior management experience in a physician practice setting; 5+ years healthcare experience preferred.
Proven experience managing a multi-provider specialty practice, revenue cycle and P&L responsibility.
Demonstrated leadership with staff management and measurable improvements in productivity or financial performance.
Proficiency with EHRs and practice management platforms; advanced Excel/reporting skills.
Exceptional communication skills and demonstrable success building physician trust.
Preferred
Prior orthopaedics and/or surgical specialty practice experience.
Master’s (MHA/MBA) or CMPE/ACMPE certification.
Familiarity with practice growth initiatives and payer negotiation.
Key Performance Indicators (KPIs) — how we will measure success
Net collections rate improvement (target TBD)
A/R days reduction to practice target (<60 days)
Percentage of A/R >90 days reduced by X% in 12 months
Patient satisfaction (CAHPS/Press Ganey or internal survey) within target range
Next-available new and established appointment windows
Work environment and schedule:
Primarily on-site in San Antonio with occasional after-hours as needed.
Must be available for visibility on clinic days and community events.
